What kind of sign up sheet can I make?

There are two kinds, and the maker does both. A time slot sheet is for bookings and rotas: parent meetings, volunteer shifts, a bake sale stall, a car wash, a rehearsal schedule. You set the first start time, the last end time and how long each slot lasts, and the sheet lists every slot for you, such as 9:00 to 9:30, 9:30 to 10:00 and so on.

An items sheet is for anything people bring or do: potluck dishes, class party supplies, jobs on a working day, roles at a fundraiser. You type your list, one line per item, and each line becomes a row. If you need two people to bring a main dish, type main dish twice, or set people per item to two.

How do I make a sign up sheet for a potluck?

Choose items, then list what the meal needs rather than leaving it open. A sheet that says main dish, salad, dessert and drinks gets a balanced table. A blank sheet tends to get a lot of crisps.

  1. Count your guests and decide roughly how many mains, sides, desserts and drinks you need.
  2. Type each one as a line, repeating lines where you need more than one.
  3. Add useful extras such as plates, cups, napkins, serving spoons and a cool box.
  4. Choose name and what I will bring as columns, so people can say exactly which dish.
  5. Use the notes box for timings, where to drop food off, and a request to label dishes with ingredients.

How do I organise volunteer shifts with a sign up sheet?

Choose time slots and set the slot length to match your shifts, such as one or two hours. Then set people per slot to the number of helpers you need at once, up to four. Each slot gets that many rows, grouped together with a line between slots, so it is obvious when a shift is full.

Add a phone column so you can reach people if plans change, and put your own name or contact in the questions to field. If different jobs need different numbers of people, use the items option instead and write lines like 10am to 12pm: gate, typing a line once for each person you need.

Which columns should I add?

The first column is always the slot or item. After that, choose up to three from name, phone, email, what I will bring and notes. Most sheets only need a name and one way to get in touch.

Remember that a paper sheet on a classroom door or a church noticeboard can be read by anyone passing. If people would rather not write their phone number where others can see it, leave the phone and email columns off and collect contact details separately.

  • Class party or potluck: name, what I will bring
  • Volunteer rota: name, phone
  • Parent meetings or appointments: name, notes
  • Workshop places: name, email

What happens if my list is long?

Each page holds 22 rows, and longer lists carry on to new pages with the same heading and a page number. Time slots stop at 48, which covers a whole day in 30-minute slots, and item lists take up to 60 lines. The notes you add print on the first page only, so later pages keep the full number of rows.

If you only need a few rows, the rest of the page prints as blank rows. They are useful for late additions, or you can write your own items in by hand.

Why use a printed sign up sheet instead of an online one?

Online sign up tools are handy when everyone has an email address and checks it. A printed sheet works when people are already in the same place: at the school gate, after a service, at the end of a club night or in a staff room. Nobody needs an account or an app, and you can see at a glance which slots are still free. You can always take a photo of the finished sheet and share it with the group.

If the sheet is going on a noticeboard for a week or two, print a spare copy in case the first one gets torn down or filled up. Write the date you put it up in the corner so people know it is current.
